Case Study: Winfield Chamber of Commerce Annual Report Presentation
About the Client
The Winfield Chamber of Commerce is a non-profit organization dedicated to helping the businesses of Winfield, KS grow. The Chamber provides tools and information to help local companies connect to customers and to one another. They also sponsor events focused on community outreach, networking, and education.
The Challenge
During its yearly banquet, the Winfield Chamber of Commerce provides members with an annual report in the form of an audio-visual presentation. The report serves as a summary of the Chamber’s activities during the previous year, covering topics such as fundraising, new members, changes to the board, and community events.
The 2006 annual report was scheduled for the Chamber’s February 2007 banquet, but the designer of the previous year’s presentation was unavailable. With less than a week remaining before the dinner deadline, the Winfield Chamber of Commerce turned to Zenscope Studio for help.
The Solution
Like most annual reports, the Winfield Chamber’s presentation included several long lists and some descriptive copy about the year’s activities. It also featured almost fifty photographs, many of which needed retouching due to the lighting conditions when they were taken.
The presentation was to be shown without an accompanying speech, and would be set to music. The Chamber’s only requirements were that I create the presentation in PowerPoint, use the photos and text provided, and have it ready in time for the banquet five days later.
After retouching the photos, I began organizing the Chamber-provided text into slides by subject area. The presentation covered four main topics, each taking 12 to 22 slides to cover. Because there would be no speech, the slides themselves had to provide whatever context might be missing from the photos or text. If an audience member looked away for a moment to take a drink of water or a bite of their dinner, they might lose their place as the slideshow moved on without them.
To make sure the audience always had a context for the current slide’s information, icons were used to represent each of the four topics. An early slide introduced these icons and their meanings. They then appeared at the top-left corner of related slides throughout the rest of the presentation. In addition, generous spacing and large fonts were used whenever possible to keep text easily legible in the large banquet hall.

The Results
The presentation was a hit with the banquet attendees and Chamber leadership. “With very little lead time, Zenscope Studio was able to turn the information we provided into a high-quality piece that more than exceeded our expectations,” says Chamber President Lonnie Boyd. “Adam’s professionalism, attention to detail, and service after the sale were exemplary.”
